The Database Coordinator is responsible for managing & maintaining the Church Management Software (ChMS) and associated software applications. This position requires both a technical level understanding, and the ability to provide training and support to all levels of users.



Church Management Software (ChMS)

·         Oversee data entering and update of member information including contact, membership, household and all other necessary information.

·         Provide assistance to volunteers entering data into membership software.

·         Validate membership data in ChMS on a weekly basis by searching duplicates, new from check in and new from website.

·         Provide back up to entering guest and new member information into the ChMS, including updating member status and attributes.

·         Participate in annual training and webinars as needed to stay updated on changes and updates to Membership database and software applications.



·         Weekly verification and posting of contributions from all campuses.

·         Report contribution totals for posting to the General Ledger.

·         Develop and provide year-end giving reports as needed.



·         Prepare reports for ministries as requested including backup to weekly attendance reports, monthly membership reports, etc.

·         Track discipleship attendance numbers.

·         Create and monitor contact reporting by staff members as needed.



·         Assist running background checks of volunteers.

·         Assist in answering and routing incoming calls.

·         Provide secondary administrative support for staff as directed.

·         Special and/or shared projects and other duties as assigned.

JOB REQUIREMENTS: (skills, education, training, etc…)

Associates Degree preferred in Business, Technology or related field.
Prior experience with database tools preferred.
Intermediate proficiency with MS Excel.
Proficient with database software, Microsoft Office Products, Web Browsers.
Proficient with PCs and Standard Office Equipment.
Proficient with time management
Support and maintain Fellowship One database and associated applications including, but not limited to, check-In and contributions.
Monitoring database integrity, maintenance and efficiency.
Develop reports and custom requests for users as needed.
Ability to effectively communicate with staff and volunteers, etc.
Proficient in training staff and/or volunteers in database usage.
Able to learn to use new software quickly and efficiently.
Ability to answer phone in a courteous and professional manner.

·         This position is non-exempt hourly and the expectation is 28 hours/week.

·         Offices at the Lenexa campus.


·         Reports to the Business Administrator.

·         Works with the following positions: Financial Director, Campus Pastors, and shared duties with administrative staff as assigned.
